Job Title:                   Receptionist

Line Manager:        Office Manager

Salary Scale:            PARIS BAND 2

Hours:                         22.5 hours per week (over 3 days)

8am – 4pm with 30 minute lunch break.
Term-time plus 3 inset days (you will be expected to take annual leave in school holiday periods and co-ordinate office cover with other school support staff)

Main Job Purpose

You will be the first point of contact for Stretford Grammar School. The primary function of this role will include offering administrative support across the organisation, welcoming guests and greeting people who visit the School. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

Core Responsibilities

  • Be the first point of contact for parents and external visitors
  • Oversee the signing in/out of all visitors using the electronic signing in system and issuing ID badges maintaining security and safeguarding of students and staff
  • Oversee the signing in/out of students throughout the course of the day and coding them on Bromcom and monitor lates.
  • Managing the switchboard and answerphone, directing and screening  calls and emailing messages to relevant members of staff
  • Effectively and efficiently responding to queries from parents, schools and external agencies
  • Sign for deliveries and ensure they are dealt with efficiently by the site team
  • Processing and sorting the incoming and outgoing mail and in charge of managing the franking machine system and order of supplies and regular maintenance
  • Respond to all student requests at Reception
  • Coordinating and scheduling the School Photographs and provide administrative support  on the day
  • Coordinating school immunisations with relevant agencies
  • Work with outside agencies as appropriate and provide coordination and administration support e.g. counselling, connexions, school nurse
  • Provide clerical support for teaching staff as requested and provide coordination support for trips and visits
  • Provide administrative across the school where required
  • Filing and scanning of all student documents and importing CTF files
  • Provide first aid assistance as a fully qualified First Aid at Work and maintain first aid logs and supplies
  • Liaising with the PTA on a regular basis and offering support including managing the Good as New Uniform sales and collating monies obtained
  • Fundraising for our designated charity Wood Street Mission, liaising with them and arranging collection or drop off of donations

Health and Safety

All employees are responsible for:

  • Compliance with safety rules and procedures as laid down in their area of activity. (i.e catering and hospitality, use of trays, trolley)
  • Ensuring that they take reasonable care of their own health and safety and hence avoid injury to themselves and to others by act or omission whilst at work.
  • Using protective clothing or equipment as may be provided.
  • Reporting promptly all sickness, accidents, unsafe working conditions or practices and dangerous occurrences of which they are aware.
  • Co-operating with the Headteacher in the fulfilment of the objectives of the school Health and Safety Policies.
  • To report promptly to the Headteacher any issues which have/may lead to a breach of regulations

The School

  • Ensure that all school policies are adhered to and consistently implemented
  • Ensure all areas of the school are maintained to a very high standard 
  • To attend and support at evening events where requested e.g. Open evening, Entrants evening, Awards evening
  • To carry our administrative duties as required by the School or Headteacher
  • To understand the importance of safeguarding and adhere to and upload our Safeguarding Policy and Procedures
